Board of Directors Openings for the 2017-2018

Please see below for responsibilities of each open position:

1)    President (1 Position Open)

POSITION DESCRIPTION:

The President:

·         Is responsible for providing strategic leadership, annual planning and direction

·         Coordinates with other affiliated DAMA International Chapter Presidents; is the general representative to outside groups and bears final accountability for the health and well-being of DAMA-PS

·         At the end of each term, the President will automatically assume the office of Past President

o    If the President is re-elected for a second term, the Past President may, solely at her or his discretion, leave the Executive Board and the position of Past-President will remain unfilled

o    If left unfilled, the President will assume the duties of Past President

·         The Past President will retain the title of Past President in addition to any other title she or he may hold from election to the Executive Board

·         As Past President, determines that all duties necessary for operating DAMA-PS are assigned to a member of the new Executive Board

·         May serve as liaison with other organizations, including any national organizations with which DAMA-PS may be affiliated

·         As Past President, appoints a DAMA-PS member to be chairperson of a nominating committee no later than February 1 for elections

ROLE AND RESPONSIBILITIES:

In addition to the above responsibilities, the President

·         Leads and conducts Executive Board Meetings

·         Determines board meeting agenda with input from members of the Executive Board and DAMA-PS members

·         Delivers announcements and agenda for Chapter meetings and events

·         Assumes the office of Past President if none is available

2)    Vice President of Programs and Education (1 Position Open)

POSITION DESCRIPTION:

The VP of Programs and Education;

·         Participates in Board of Directors meetings

·         Works with the other board members and members at large to understand the types of programs that would add value to the membership

·         Surveys topics of interest from DAMA-PS members annually

·         Arranges for speakers to present at DAMA-PS chapter meetings

·         Coordinates the venue and event scheduling

·         Maintains Event Planning information and communication with the Executive Board

·         Coordinates timely advertising of DAMA-PS meetings with the VP of Communication and VP of Marketing

·         Collects confirmation on speaker engagements, including speaker biography and topic content

·         Conducts communications with speakers including logistics speaker fees and event follow-up

·         Communicate the agreed financial obligations for Program Services to the VP of Financial Services

ROLE AND RESPONSIBILITIES:

In addition to the above responsibilities, the VP of Programs and Education:

·         Works with VP of Marketing to coordinate advertisement of events

·         Assists with the annual budget for event expenditures


3)    Vice President of Financial Services (2 Positions Open)

POSITION DESCRIPTION:

The VP of Financial Services:

·         Participates in Board of Directors meetings

·         Manages the organization finances

·         Maintains financial records

·         Diligently uses organization’s monetary resources

·         Notifies President of any financial health risks

·         Makes payment on organization’s financial obligations

·         Prepares and files income tax reports (IRS 990), Non-profit Corporation Annual report, and other filings that may be required

ROLE AND RESPONSIBILITIES:

In addition to the above responsibilities, the VP of Financial Services:

·         Gather all monies collected at any events and deposit them

·         Prepares Financial Statements for every Executive Board meeting

·         Keeps financial transactions and records up-to-date in QuickBooks

·         Assists with annual budget creation


4)    Vice President of Membership (1 Position Open)

POSITION DESCRIPTION:

The VP of Membership:

·         Participates in Board of Directors meetings

·         Maintains membership records and promotes membership

·         Collection of dues and fees for membership and activities

ROLE AND RESPONSIBILITIES:

In addition to the above responsibilities, the VP of Membership:

·         Works with VP of Marketing for Membership Marketing

·         Responsible for signing in registrations for events or ensuring there is someone to do so

·         Send out reminders for lapsed memberships

·         Make changes/updates to membership accounts


    5)    Vice President of Marketing (2 Positions Open)

    POSITION DESCRIPTION:

    The VP of Marketing:

    ·         Participates in Board of Directors meetings.

    ·         Creates press releases, articles, brochures and/or any communications to promote the mission, purpose, goals and/or activities of DAMA-PS

    ·         Timely coordination of external communications

    ·         Creates annual Marketing budget and plan

    ROLE AND RESPONSIBILITIES:

    In addition to the above responsibilities, the VP of Marketing:

    ·         Coordinates with VP of Membership for Corporate Membership and Academic Membership Marketing

    ·         Assists in the maintenance of the DAMA-PS.org website

    ·         Works with other groups and associations in the area to coordinate joint events
